Privacy policy

    This policy explains what the cerebramha.com website collects, why it collects it, who else is involved, and what you can ask us to do about it. It is written to describe the site as it is actually deployed today, not as a template of practices we aspire to.

    Scope of this policy

    This policy covers the public marketing website at cerebramha.com only, meaning the pages you can reach from the navigation: the homepage, products, about, contact and this page. It is a website that describes a company and its work. It is not a clinical service, not a diagnostic tool, and not a portal into any product.

    Cerebramha's products are in development and are not cleared or approved for diagnostic use. Nothing on this website analyses a scan, produces a report, or forms part of anyone's clinical care. If and when a product becomes available to use, it will carry its own separate agreements and its own privacy terms; those terms do not exist yet and this page does not stand in for them.

    This website has no user accounts, no sign-in, no payments and no customer dashboard. There is nothing here to register for.

    Do not send us patient data

    We cannot accept patient data through this website. Please do not send MRI or other scans, DICOM or NIfTI files, medical records, patient identifiers, or any protected health information through the contact form or by email to us. This site is not built, secured or operated to receive that material, and we are not able to hold it on a patient's behalf.

    If material of that kind reaches us anyway, we will delete it rather than store it, and we will reply asking that it not be sent again. Clinical and research conversations can happen without any identifiable patient information attached.

    What this site collects, and why

    Information you type into the contact form

    The form on the contact page asks for a first name, a last name, an email address and a message. The only purpose of those fields is to let us understand your enquiry and reply to it. There are no optional tracking fields, and nothing you type there is used for advertising or sold to anyone.

    In the interest of describing the site accurately: the contact form is not currently connected to a mail service, so a submission is not transmitted to us and is not stored anywhere. Until that is finished, the reliable way to reach us is to write directly to contact@cerebramha.com. This paragraph will be updated when the form is wired up.

    Information you send us by email

    If you email us, we hold your message, your email address and whatever you chose to include, so that we can answer you and keep track of an ongoing conversation. Your email reaches us in the ordinary way that email works.

    Information collected automatically

    Like almost every website, this one is served by a hosting provider that records ordinary request logs: the page requested, the time, the IP address the request came from, and the browser's user-agent string. These are operational records used to serve the site and to investigate faults and abuse.

    Beyond that, the analytics tag described in the next section collects usage information.

    Analytics and cookies

    Every page of this site carries an analytics tag provided by a third-party analytics service. It starts running as soon as the page opens.

    Through that tag, the analytics service collects information about your visit: which pages you viewed and in what order, roughly how long you stayed, the site or search that referred you, your device and browser, and an approximate location derived from your IP address. The tag stores identifiers in your browser (cookies or equivalent browser storage) so that repeat page views within a visit can be grouped together. We use this to understand which parts of the site people actually read. We do not use it to identify individual visitors, and we do not run advertising or retargeting from this site.

    We should be straightforward about the state of this: the site does not currently present a cookie or analytics consent banner, so the analytics tag loads without asking you first. We are reviewing that, and this page will be updated when it changes. In the meantime you can stop the tag from reporting anything by blocking third-party scripts or cookies in your browser settings, or by using a tracker-blocking extension. Neither of those will stop the rest of the site from working.

    Data collected by the analytics tag is held by the analytics service under its own terms and retained according to the retention period configured on our account. We have not printed a number here because it is a setting rather than a commitment; if the current value matters to you, ask us and we will tell you what it is set to.

    Aside from the analytics identifiers described above, this site sets no cookies of its own. There is no login session to keep, no cart, and no preference we store against you.

    Third-party services

    A small number of outside services are involved in running this website. It is hosted by a third-party hosting provider, it uses a third-party analytics service to measure usage, and it loads its web fonts from a third-party font service. Mail you send to the team is handled by a commercial email provider. Each of those companies processes information under its own terms.

    There is no data broker, advertising network or other tracking vendor behind this site. We do not sell personal information to anyone, and we do not share what you send us with anyone outside the company except where we are legally required to.

    How long things are kept

    Email correspondence is kept for as long as it takes to answer you and for a reasonable period afterwards, so that we can pick up a conversation where it left off, and no longer than that if you ask us to delete it. Hosting request logs are short-lived operational records retained by our hosting provider under its own schedule. Analytics data is retained by the analytics service under the retention setting configured on our account. We do not build long-term profiles of visitors, and there is no marketing database behind this site.

    Asking for access, correction or erasure

    Write to contact@cerebramha.com and tell us what you want: a copy of what we hold about you, a correction to it, or its deletion. Say plainly which of those you are asking for, and use the email address you originally contacted us from where you can, since it is the only way we can connect a request to a record. We will act on it and tell you what we did.

    Because this site has no accounts, in practice what we hold about any individual is their correspondence with us. Analytics information is not linked to a name and we generally cannot single out one person's records within it; the effective control there is the browser-side blocking described above.

    Children

    This website is aimed at licensed healthcare professionals, researchers and institutions. It is not directed at children, and we do not knowingly collect information from them.

    What this page does not claim

    This page describes practices. It does not assert a certification. We are not claiming HIPAA, GDPR, SOC 2, ISO 27001 or any other compliance status, audit or accreditation on this website, and you should not read anything above as such a claim. Where a formal status is eventually established, it will be stated separately and specifically.

    Equally, our products are in development and are not cleared or approved for diagnostic use by any regulator.

    This policy was written by the team to describe the site accurately, and has not been reviewed by legal counsel. Anyone relying on it for a compliance assessment should treat it as a factual description of the site rather than as a legal instrument, and we would recommend that it be reviewed by counsel before it is relied on in that way.

    Changes to this policy

    When the site changes, whether that is a consent mechanism, a working contact form or a new third-party service, this page is updated in the same change, and the date at the top moves. There is no archive of previous versions; the date at the top tells you which version you are reading.
